Meridian Media Agency ("we", "us") runs paid advertising and automated messaging services for businesses. This policy explains what personal data we handle, why, and what rights you have over it.

Who this applies to
This policy covers people who contact one of our clients through a WhatsApp or Instagram messaging assistant that we operate on that client's behalf, and people who contact Meridian directly.

When you message one of our clients, that client is the data controller for your information. Meridian processes it on their instructions.

What we collect
Your name, email address and phone number, when you provide them
The content of messages you send to the assistant, including images
Your city or time zone, so appointments can be scheduled correctly
What you tell us you would like to discuss
Your messaging platform account identifier, so replies reach you
We do not collect payment details through the assistant.

Why we collect it
To answer your questions about the business you contacted
To schedule, reschedule or cancel appointments
To send you confirmation of a booking
To pass your enquiry to a person when the assistant cannot help
Who we share it with
We use third-party services to operate the assistant. Each processes only what it needs:

Meta Platforms — delivers WhatsApp and Instagram messages
Anthropic — generates the assistant's replies. Message content is sent to this service and is not used to train models.
Google — calendar scheduling and confirmation email
Supabase — stores conversation history and business documents
We do not sell your data, and we do not share it with advertisers.

How long we keep it
Conversation history is retained for up to 12 months so the assistant can follow up on an ongoing enquiry. Appointment records are kept by the business you booked with, under their own retention policy. You can ask for your data to be deleted sooner.

Your rights
You can ask us to:

Tell you what data we hold about you
Correct anything inaccurate
Delete your data
Stop messaging you
To stop receiving messages, reply STOP to the assistant at any time. For anything else, email us at the address below and we will respond within 30 days.

Security
Data is transmitted over encrypted connections and stored on access-controlled servers. No system is perfectly secure, but we limit who can access your information to those who need it to operate the service.

Children
Our services are intended for adults. We do not knowingly collect data from anyone under 16. If you believe a child's data has been collected, contact us and we will delete it.

Changes
If this policy changes materially, we will update the date at the top of this page.
